Fall 2006 Beginning Student Records

We are providing additional information to ease the data submission process and have provided two new reports available in the TPA Reports area: Validation Check and Export Data. The Validation Check report provides the ability to check basic statistics such as headcount or average test scores by gender, race, and program type to ensure data is ready to be locked. The Data Export report provides the ability to obtain an electronic version of the data entered into the TPA. This file will not be formatted in such a way that it could be uploaded to the TPA with modification.

To help create the necessary data file to upload TPA Beginning student data for Fall 2006, an Access Database has been provided. It contains three types of tables:

  1. Beginning: This table has all columns formatted as text and must be completed in order to upload data to the TPA
  2. DataDictionary: This table lists all fields in the Beginning Student Record and describes the data that must be entered and the format in which they must be entered to be accepted by the TPA application.
    1. FieldName this will match the name of a field in the Beginning table (sort by ColumnOrder to match the layout of the Beginning table)
    2. Codes information on how to enter data such as dates in the MM/DD/YY format or SAT scores between the range of 200-800. If it says Code Value in CodeTable, refer to the CodeTable column
    3. CodeTable this indicates which table in the Access database contains the list of values that can be entered for this field
    4. Definition & Comments contain more detailed information on the field and how entering certain data in one field may require that you enter data in another column (See NonPermAddress_Country)
  3. vx_Tables: These tables contain lists of valid values for certain fields in the Beginning table. Each table has three columns.
    1. CodeValue contains the data that must be entered into the Beginning table
    2. ValueLabel contains a text description of what the code value means
    3. ValueOrder provides the criteria for sorting the list (may be the same as ValueLabel if things are sorted alphabetically)


Important Notes:
  1. Once the Beginning table is populated, please export it to a new Access database before uploading it to the TPA to reduce the file size being uploaded.
  2. This database is designed to facilitate uploading TPA data for the initial data collection in Fall 2006. This application may change over time. Please refer to the sources of this data for updates before using this beyond Fall 2006.
