Fall 2006 Continuing Student Records

The Continuing Student record captures continuing student status, GPA's early field experiences, employment, and any institutionaly defined fields. The continuing student record layout was revised based on feedback about the Beginning Student record. Here are some things to be aware of as you begin to prepare data for the Fall 2006 Continuing Student record submission.

1. Every Fall 2006 Beginner must have a Fall 2006 Continuing record entered into the TPA. By entering the Continuing record, you are providing the TPA with an update of each student's progress during their first term in your program. After you have entered and locked your Continuing student records, you will need to submit Exiting student records if any of those students stopped-out, dropped-out, or completed your program during Fall 2006.

2. Since the Beginning student record was modified as a result of feedback during the pilot and some fields were not collected or could not be converted into the new format, SCHEV will use the data you supply about your students on the Continuing record to update the Beginning student data you submitted in the old format. Information that you provide on the Fall 2006 Continuing record regarding a student's full time/part time student status, program type, and endorsement areas will be used to "back-fill" comparable new or revised fields in the Fall 2006 Beginning Student record that you provided during the Fall 2006 TPA submission. This process is a one-time occurrence necessary to standardize the system for future collections. By SCHEV doing this, you will have complete data in the new format without having to resubmit your Fall data in the revised format.

As a rule, data should be provided for all fields. Some fields will not produce errors if they are blank to facilitate data entry by institutions that legitimately do not have that information. If you have too much missing data, you may be required to resubmit your file.
